Job title: Payroll Manager (6-month contract)

What are we looking for?

We are seeking a 6-month contract to provide cover and support for our existing payroll manager while we implement our new payroll solution, ADP. While the primary focus of the role will be to cover to payroll manager's core duties, it will also involve ad hoc work as required including involvement in elements of the ADP implementation project. Note that because this is a 6-month contract, not all elements of the role may fall due within the period of the contract.

Areas of focus and responsibilities

Process payroll adjustments

On a monthly basis:

  • Ensure that HR data is captured timely, accurately, and consistently and that integrity is maintained
  • Processing our 3 payrolls (for staff, partners and trainee maintenance)
  • Onboarding new joiners' details including HMRC details
  • Entering monthly changes including: salary changes, allowances, overtime, recruitment awards, absence management including unpaid leave, maternity leave, commissions
  • Calculating leavers payments and processing P45s
  • Download and process tax codes and student loan information from HMRC
  • Process instructions from our Tax team for seconded employees
  • Process instructions from the Reward department
  • Arrange split net payments for US Associates

On an annual basis:

  • Upload, check and reconcile the annual salary review
  • Upload, check and reconcile the annual bonus payments
  • Upload, check and reconcile flexible benefit selections

Review and payment of monthly payroll

  • Reconcile salaries held on the payroll system with those on the HR system to ensure these are correct for all individuals
  • Prepare reconciliations and reports for the EU Financial Controller and Assistant Controller to approve payroll
  • Run the BACS file for approval and upload onto HSBC

    Finalization of monthly payroll and accounting entries

  • Reconcile and upload the RTI submission to HMRC.
  • Produce and send payslips (online)
  • Prepare and check the payroll journals for each of the 3 payrolls and upload onto our accounting system (3E)
  • Run the Automatic Enrolment process and prepare a breakdown of the results back to the Reward team
  • Reconcile staff benefits control accounts (gym, dental, childcare vouchers and cycle scheme)
  • PAYE and arrange monthly payment to HMRC
  • Pension contributions and upload onto the pension provider website
  • GAYE and send upload reports onto the CAF website and arrange a BACS payment

Maternity calculations

  • Maintain the offline tracking workbook for maternity leave payments
  • Produce a schedule of payments incorporating our enhanced scheme and the statutory scheme for employees and meet with them to discuss in advance of commencing maternity leave

Year-end processes

  • Reconcile and produce year-end reports
  • Sent year-end RTI to HMRC
  • Reconcile and produce year-end payrolled benefit reports to be sent to HMRC, calculate class 1A NIC and arrange a BACS payment to HMRC
  • Produce and send P60s (online)

Additional reporting

  • Cost Code reports for HR and management for monthly review
  • Provide gender pay info annually
  • Ad hoc reports for HR/Management
  • Produce the monthly commission report for London, Hong Kong, Singapore and Italy, for payroll including the automated information and manual adjustments

Technical experience required

  • Up-to-date knowledge of payroll legislation
  • At least 5 years of payroll experience
  • Knowledge of payroll software
  • Excellent attention to detail
  • Proficient in Microsoft Excel

  • 9.30am to 5.30pm but flexibility is a must, particularly during billing week
